You have prepared the session, you have organised your day around that hour and, ten minutes in, you realise nobody is coming. Or the message arrives half an hour before: "I can't make it today, sorry". You can no longer offer that hour to someone else, and you won't be paid for it either. And almost worse than the gap is what comes next: deciding whether to say something, how to say it, and whether it is worth the awkwardness.

Most no-shows have nothing to do with a lack of respect. They have to do with how the process is set up. And that is something you can change.

Why they happen (it is almost never bad faith)

Behind an empty appointment there is usually one of these three things:

  • Forgetting. The appointment was agreed three weeks ago, in person or over WhatsApp, and it isn't written down anywhere the person looks every day.
  • Changing it is too much effort. Letting you know means writing to you, waiting for your reply and finding another time. Someone who knows on Monday that Thursday won't work keeps putting it off until it is too late.
  • Nothing is at stake. If missing it has no consequence at all, the appointment loses out to any unexpected thing that comes up that day.

None of the three is fixed with a reproachful message. They are fixed earlier, in the way the booking is made.

Make changing the appointment easier than missing it

It sounds contradictory, but making things easy for someone who needs to move their appointment reduces no-shows. A cancellation with three days' notice is an hour you can still offer; a no-show without warning is an hour lost.

When your client can check and change their appointment on their own, at whatever time suits them and without waiting for you to answer, they let you know sooner. You receive the change already made in your calendar, not a conversation waiting to be closed.

A clear cancellation policy, stated in good time

Having rules doesn't make you unfriendly: it spares you the uncomfortable conversation later. What makes it uncomfortable is improvising it once the problem has already happened.

Three decisions are enough:

  • How far in advance an appointment can be changed or cancelled at no cost.
  • What happens with later notice, or with no notice at all.
  • Which exceptions you are willing to make — a real emergency is not the same as a third no-show in a row.

And one condition: the person should know from the very first appointment, in writing and as a matter of course, not on the day they miss one.

Taking payment at booking changes the commitment

When the service is already paid for, the appointment stops being a provisional plan. There is no need to present it as a penalty: it is simply that booking and paying happen at the same moment.

It doesn't have to apply to everything. It tends to make most sense for first visits — where there is no relationship yet and no-shows are more frequent —, for long sessions, or for group places, where an empty spot is a place someone else was unable to book.

How we handle it at SIKIO

At SIKIO, these pieces live in the same place and are connected to each other:

  • Your client manages their own changes. From their private space they can see when their next appointment is and change it directly, with no calls or messages.
  • Payment at booking, wherever you decide. With the built-in payment gateway you choose which services are paid for when booking; the rest keep working as they do now.
  • Appointment reminders, so the appointment doesn't depend on anyone's memory.
  • Everything stays linked. Appointment, client, payment and invoice remain connected, so you know what happened with every hour in your calendar without piecing it together by hand.

You won't eliminate every no-show: your clients' lives have unexpected turns, just like yours. But you can make them the exception and, when they do happen, you won't be the one who has to chase anyone.

If you want to try it with no strings attached, at SIKIO you can try the service for free until the end of 2026 — and since we are a small team, if you have any questions you talk directly to us, not to a bot.
